Terms and conditions
1. Booking and Payment
To hire the space, you need to complete a booking form and pay a non refundable booking deposit.
All bookings must be made by someone aged 18 or older.
If you're booking on behalf of a group or organisation, the booking person is responsible for the agreement.
The full hire fee and refundable deposit must be paid at least a month before your event.
If you damage anything, leave a mess, or break the rules, we’ll use part (or all) of your deposit to cover the costs. You’ll be charged extra if the cost goes beyond the deposit as compensation.
The Office Manager may not accept cheques.
2. Cancellations
For whole day bookings we require 3 months' notice for cancellation and for all other events we require 1 month's notice before the date of your event to receive a full refund
If you cancel with less than 3 months/1 month notice (as above) or less your payment won’t be refunded.
If we have to cancel we must give 6 months notice for a whole day booking and 1 month notice for any other event, except in the case of emergency when we reserve the right to cancel at any time as necessary.
3. Rules and Restrictions
No smoking, drugs, or illegal substances allowed anywhere on the premises.
Children must be supervised at all times and are not allowed in the kitchens, on the stage (in the Small Hall) or on the mezzanine in the Main Hall.
You can only use the spaces you’ve booked.
Areas (like the balcony or side staircases) are off-limits unless agreed.
Decorations must be put up carefully – use only masking tape or blu tac and must be removed entirely after your event.
No confetti, glitter, smoke machines, candles, or helium balloons.
Maximum capacities: Small Hall – 80 (less if using tables and chairs), Main Hall – 200 (180 or less if you’re using tables/chairs).
All events must supply a responsible person’s name and phone number.
Events must end by midnight, and music must stop by 11pm.
If you want to use special lighting or sound equipment, get written permission from the manager first.
Don’t bring animals unless you have permission.
You cannot sub-let the space to someone else.
You must use noise limiter for amplified music in Main Hall
For parties and celebrations in either Main Hall or Small Hall you must use our cleaners
You must get our agreement to ship in any furniture other than tables and chairs
3. Our Responsibilities
We will ensure that as far as within our control that the space(s) you hire is/are clean, tidy and fit for purpose.
4. Your Responsibilities
You're responsible for:
Any damage or loss during your hire.
Keeping things clean and tidy – especially the kitchen, ovens, and fridges if used.
Putting away any tables and chairs you use, follow the floor plans provided to you.
Ensuring there is no excessive noise, especially outside. Be mindful of our neighbours.
Removing all your belongings before your time ends, or you’ll be charged extra.
Switching off lights and securing doors/windows before leaving.
Knowing where fire exits and extinguishers are – and keeping exits clear.
Tapping out with your key fob and leave keys in the Key Post Box on the wall by the Main Hall exit.
Respecting the premises as they are used for Christian worship services and meetings
If your hire is on a Saturday, please make sure the space is ready for church use the next day. It is especially important that nothing of yours is left out in the main hall - use store rooms as described to you.
All items must be delivered during office hours and collected between 9am and 12pm on the Monday after your event.
Arrange with the office in writing delivery and collections of anything needed.
Provide the office with the contact details of your responsible person if it is not yourself.
If rules are broken (especially smoking or noise), we may keep your full deposit.
Any electrical items you bring must be safe, PAT tested and not cause hazards (e.g., no trailing leads).
The proper care of the PA equipment and acknowledge that the Elmgrove Centre is not responsible for any operational failures. We advise that you test the equipment prior to your event to ensure everything functions as expected.
5. Licenses and Legal Bits
If you’re playing music or performing copyrighted material, you must get the right licenses.
If you’re selling alcohol, a Temporary Event Notice (TEN) must be in place and shown to the Office Manager.
The Director, Office Manager and Caretaker have the right to:
Enter the space at any time.
Stop events that aren’t being properly run.
Cancel your booking if necessary (you’ll get a refund, but we won’t cover other costs).
Turn off the electricity to the music if it exceeds the noise limit (you should be able to talk to each other without having to shout)
6. Shared Facilities
The car park is shared – please don’t block entrances or exits.
We’re not responsible for lost or stolen items or vehicles or damage to them while parked on site.
